Access and privacy
Who sees what: explicit permissions, what managers see, and how to preview exactly what anyone sees.
Willow shows each member only what their permissions allow, and every permission is explicit. The owner holds them all and sets everyone else's on Access.
Permissions
| Permission | What it allows |
|---|---|
| Manage people, employment and lifecycle | Joiners, changes, leavers, templates, access and move-in |
| Read private contact details | Personal email, phone, home address, date of birth, emergency contact |
| Read compensation | Pay in employment terms and summaries |
| Manage leave policies, balances and confidential reasons | Policies, opening balances, accruals and reasons |
| Prepare and hand off payroll changes | Payroll batches and exports |
| Read every private document category | All private documents, whatever their category |
| Read organisation-wide summaries | Headcount, movements, leave taken and lifecycle work |
| Receive IT lifecycle tasks | Account and device tasks |
| Read the audit trail | Every change and every private read |
The HR, payroll and IT bundles grant the usual sets in one step; each permission still shows on its own.
What managers see
Managing someone needs no permission: a manager sees their team's work details and leave dates, decides their leave and completes manager tasks. They never see their team's pay, private contact details or confidential reasons. An employee sees their own record, leave and documents shared with them.
Preview what anyone sees
Under Preview what a member sees, pick a member and a person and press Preview. Willow lists each part of the record (directory, employment history, payroll identifiers, private contact details, compensation, leave, confidential reasons, cases and private documents) with Yes or No for that member, exactly as Willow would show it to them.
Give and end access
On a person's page, Give access lets them sign in with their work email; End access stops it at once. Every read of someone else's private details, pay, confidential reasons and documents is written to the Audit trail.
