Leave

Leave worked out in hours from each person's schedule, decided by their manager and kept in a ledger.

Willow works leave out in hours from each person's own working schedule, keeps every balance in a ledger that is only ever added to, and sends each request to the person's manager.

Open a leave account

On a person's page, Open a leave account asks for an approved leave policy, the cutover date and the opening balance in hours, with a note of where the balance comes from. The opening balance is a proposal until someone with Manage leave policies, balances and confidential reasons signs it off. Post accrual then adds the hours the policy accrues up to a date.

Request leave

Anyone with a leave account opens Leave, picks the leave type, the first and the last day, and presses Calculate. Willow shows:

  • the hours from their working schedule, day by day;
  • Balance now and the balance after the request;
  • who else in their team is away then.

They may add a reason. The reason is confidential: their manager does not see it. Submit request sends it on.

Decide

The request appears under Leave to decide on the manager's Home and Waiting for your decision on Leave. The manager approves or declines it, with a note if they like, and sees the dates and hours but never the confidential reason. Nobody decides their own request.

Change your mind

A pending request can be withdrawn. Approved leave can be cancelled or its dates corrected; Willow writes a reversing ledger entry rather than deleting anything, so the history stays. Approved leave and reversals go to payroll in hours with the next payroll handoff.
